This Privacy Policy governs the collection, processing, storage, and disclosure of personal data by the WAEC Irregularity Reporting & Investigation System (WAEC IRIS) mobile application, developed and operated by the West African Examinations Council, Ghana (WAEC-GH). By using the App, you acknowledge that you have read and understood this policy. This policy complies with Ghana's Data Protection Act, 2012 (Act 843) and Google Play Store's Data Safety requirements.

What WAEC IRIS Does

WAEC IRIS (Irregularity Reporting & Investigation System) is a secure digital platform that enables the transparent management of examination irregularity and malpractice cases conducted by the West African Examinations Council in Ghana. The App replaces paper-based processes with a centralized, real-time system for reporting, tracking, and resolving examination misconduct cases.

Core functions of the App include:

โ„น๏ธ Scope: This Privacy Policy applies to the WAEC IRIS mobile application on Android (Google Play) and to the web platform at irreg.waecgh.org, which share the same backend data infrastructure.

Who Uses This App

WAEC IRIS serves two distinct categories of authorized users. Each has a different login method and a different level of data access:

Candidates

Individuals who have sat a WAEC examination and have an ongoing or resolved irregularity/malpractice case. Login requires a candidate index number, date of birth, and year of exam. Candidates can only view their own case status.

๐Ÿซ

Schools

Registered schools and their authorized personnel. Login uses Results Listing credentials (email and password). Schools may view irregularity case statuses for all candidates registered under their institution.

โš ๏ธ Restricted Access: The App is not open to the general public. Only users with valid credentials directly tied to a WAEC examination sitting may access case information. Unauthorized access attempts are logged and may be referred to appropriate authorities.

Information We Collect

We collect only the data necessary to provide the App's services. The table below details all data collected, mapped to Google Play's Data Safety categories:

๐Ÿ”’ Sensitive Data Handling: Examination malpractice case records are classified as sensitive personal data under Ghana's Data Protection Act 2012 (Act 843). This data is never used for advertising, sold to third parties, or shared beyond the authorized scope described in this policy.

We do not collect biometric data, financial account information, precise geolocation, health data, or social media profiles.

How We Use Your Information

All data collected is used strictly for the purposes below. We apply the principle of purpose limitation โ€” your data will not be processed for any purpose incompatible with why it was originally collected.

We do not use your personal data for advertising, commercial profiling, or any purpose unrelated to examination irregularity management. We do not sell your data.

Sharing & Disclosure

We do not share personal data with third parties except in the following limited and necessary circumstances:

โ„น๏ธ No Advertising or Commercial Transfers: Personal data processed through WAEC IRIS is never transferred to third parties for advertising, marketing, or commercial profiling purposes. Any international infrastructure transfers are subject to appropriate safeguards under Act 843.

Data Retention

Data is retained only as long as necessary to fulfil the purposes described in this policy and to meet WAEC-GH's legal and statutory obligations.

Examination malpractice records cannot be deleted upon request, as they form part of the permanent official record maintained by WAEC-GH under its statutory mandate. All other personal data may be subject to deletion requests as described in Section 9.

Data Security

Given the sensitivity of examination irregularity data, we apply robust technical and organizational security measures:

โš ๏ธ Data Breach Procedure: In the event of a data breach likely to result in risk to data subjects, we will notify the Data Protection Commission of Ghana within 72 hours and inform affected users as soon as reasonably practicable, in accordance with Act 843.

Your Rights & Choices

Under Ghana's Data Protection Act, 2012 (Act 843), you have the following rights with respect to your personal data:

Right to Access

Request confirmation of whether we hold your data and receive a copy.

Right to Correction

Request correction of inaccurate or incomplete personal data.

Right to Deletion

Request deletion of non-statutory personal data where processing is no longer necessary.

Right to Object

Object to processing of your data in certain circumstances.

Right to Restriction

Request restricted processing while a dispute is under investigation.

Right to Complain

Lodge a complaint with the Data Protection Commission of Ghana.

To exercise any of these rights, contact the WAEC-GH Data Protection Officer (Section 13). We will respond within 21 days. Note that examination malpractice records cannot be deleted as they are statutory records.

Children's Privacy

WAEC IRIS is designed for use by examination candidates who may be under 18 years of age, as WAEC examinations (including the BECE and WASSCE) are taken by students who may be minors.

โ„น๏ธ Google Play Families Policy: This App is not directed at children as its primary audience โ€” it is an examination management tool. However, we fully comply with applicable children's data privacy requirements.

Third-Party Services

WAEC IRIS may use the following categories of third-party services, each governed by its own privacy terms:

We may update this Privacy Policy periodically to reflect changes in the App's functionality, applicable laws, or our data practices. When material changes are made:

We encourage periodic review of this policy. Continued use of WAEC IRIS after the effective date of any changes constitutes acceptance of the updated policy.
